In SparrowDesk, a seat is what gives a teammate full access to use the product’s features under your chosen plan.

  • Every teammate who needs to log in and work in SparrowDesk requires a dedicated seat assigned to them.



Adding Members to seats

  • When you invite a teammate to SparrowDesk, they must be assigned to an available seat.
  • If you have unused seats, the teammate can be added right away.
  • If no seats are free, you’ll first need to purchase an additional seat under Settings → Billing → Seats before assigning them.



Purchasing Seats

  • You can purchase more seats from Settings → Billing → Seats.
  • When you add a seat, you’ll be charged a prorated amount between the day you purchased it and your next billing statement.
  • You won’t receive a bill immediately — To keep your inbox tidy and invoices simple, SparrowDesk will aggregate all charges for new seats in a given month, and send one consolidated bill your way.
  • If you are typically billed annually, you will still receive these additional invoices on the next month to reflect any new seats that have been added in the prior month.



Removing teammates and Unoccupied Seats

  • You can reduce your total seat count anytime from Settings → Billing → Seats.
  • Only unoccupied seats can be removed.
  • If all your seats are filled, you’ll first need to remove team members and free up seats to reducing the seat count.
  • For this go to Settings → Members.
  • When seats are removed, the unused portion of the payment isn’t refunded in cash. Instead, the value is credited to your SparrowDesk account and applied automatically to future invoices


Think of seats in SparrowDesk like chairs : each teammate needs their own chair. You can only take away empty chairs (unoccupied seats). For example, if you’ve purchased 5 seats and all 5 are filled, you’ll first need to free up a chair by removing a teammate in Settings → Members. Once that chair is empty, you can remove the seat.

SparrowDesk does not currently offer “Lite seats” with restricted access — all seats function as full licenses.
