Account and Data Deletion
Account deletion permanently erases your workspace and everything in it. It happens two ways: you ask SparrowDesk to delete your account, or your account is deleted automatically after a long stretch of inactivity.
How deletion differs from cancelling
Deleting your account is not the same as cancelling your subscription.

Request account deletion
Account deletion is handled by our support team- there's no self-serve delete button in the app.
- Contact SparrowDesk support and ask to delete your account.
- Support checks the request is genuine — usually that it comes from the account owner's email address. Once they're satisfied it's from a valid account owner, they start the deletion. Only the account owner can request it.
- Once confirmed, your account is scheduled for deletion and a 14-day grace period starts.
You'll get a confirmation email straight away with the scheduled deletion date and how to cancel, and a reminder email 2 days before that date.
To cancel, contact support any time within the 14 days. Your account returns to active and nothing is deleted.
Automatic deletion for inactive accounts
Accounts that go unused are deleted automatically. This applies on every plan, free and paid.
An account counts as inactive when no user logs in and no agent takes any action. Either a login or an agent action counts as activity and keeps the account alive.
The schedule runs on consecutive days of inactivity:
- Day 30- first warning email.
- Day 45- second warning email.
- Day 60- your account is scheduled for deletion, with the deletion date set 14 days out.
- Day 74- the account and its data are deleted.
Warning emails go to the account owner and all admins.
Before day 60, any activity resets the clock to zero and clears the warnings- just log in or work a conversation.
On day 60, your account is soft-deleted- you can no longer log in or access it. You can still recover it during the 14-day grace period that follows, but only by contacting support. If no one does, the account is permanently deleted at the end of that period.
When an inactive account is deleted, any subscription on it is cancelled as part of the deletion, so no billing continues.
Cancelling a deletion doesn't grant a permanent exemption. If the account goes inactive again, the schedule restarts from day zero.
What's removed
When deletion completes, everything tied to the account is permanently erased:
- All agent and admin profiles, including the account owner
- All contacts and their details
- All conversations, comments, tags, and custom fields
- All chat transcripts, call records, and attachments
- All help-centre content created under the account
- All workflows, automation rules, and SLAs
- Data used by Zoona AI and AI Copilot for your account
Deletion can't be undone once it completes. If you sign up again later with the same email, it's a brand-new account with none of your previous data.

- Can I undo a deletion?
Yes, but only within the 14-day grace period, and only by contacting support- this applies to both request-based and inactivity deletions. After the grace period ends, deletion is permanent. - What happens to my billing when my account is deleted?
All subscriptions on the account are stopped as part of the deletion, and no further invoices are generated. - Can I get my data out before it's deleted?

Yes. The data Zoona AI holds for your account is deleted along with everything else when the account is deleted. - Who can request deletion, and who gets the inactivity warnings?
Only the account owner can request deletion. Inactivity warnings go to the owner and all admins, so your team can act even if the owner is away- logging in or working a conversation stops the warnings while the account is still active.
